Full description from the employer

insiderOne AI is building the Career OS and Hiring OS where people prove their skills and companies hire based on proof.

We believe skills should be proven, not just claimed.

Today, careers are scattered across resumes, certificates, portfolios, job boards and different online profiles. Candidates struggle to show what they can actually do, while employers spend hours trying to figure out who genuinely has the right skills.

insiderOne brings both sides together.

For individuals, insiderOne helps people understand their career path, identify skill gaps, build proof of what they can do, prepare for opportunities and discover relevant jobs through a living career profile that grows with them.

At the centre is ZENOR-Æ, our real-time career intelligence engine that uses a person's skills, experience, proof and goals to help them make better career decisions.

For employers, insiderOne provides a hiring system built on the same talent layer.

SCOUT helps companies discover relevant candidates based on their skills and proof.

VERA helps verify candidate information and gives employers greater confidence in what candidates claim.

We're building a world where what you can actually do matters more than how well you can describe it.

The role

We're looking for a sharp, highly organised and proactive Executive Assistant to work directly with the Founder.

This isn't a role where you'll only manage a calendar or schedule meetings.

You'll be part of the Founder’s Office, working closely with the Founder across priorities, projects, research, communication, coordination and execution.

One day you might be preparing research before an important meeting. Another day, you could be following up with a potential partner, organising priorities across multiple projects, turning a long conversation into clear action items or making sure an important decision doesn't get forgotten.

Your job is simple:

Help the Founder and the company move faster, stay organised and make sure important things actually get done.

We're looking for someone who doesn't need to be told every single step.

Someone who can look at a messy situation, understand what needs to happen and bring structure to it.

If you're naturally organised, curious, good at communicating and enjoy being close to how decisions are made and companies are built, you'll probably enjoy this role.

What you'll be doing

  • Work directly with the Founder on day-to-day priorities and important company initiatives.

  • Manage and coordinate calendars, meetings, schedules and follow-ups.

  • Prepare meeting briefs, research, notes and summaries when required.

  • Turn conversations and meetings into clear action items, owners and deadlines.

  • Track important projects and make sure follow-ups don't disappear.

  • Coordinate with internal team members and external stakeholders.

  • Conduct research on companies, markets, competitors, people, partnerships and opportunities.

  • Summarise information clearly so the Founder can make faster decisions.

  • Draft and organise emails, messages, documents and other communications.

  • Help prioritise incoming requests and protect the Founder's time.

  • Identify bottlenecks, pending decisions and things that are falling through the cracks.

  • Help build better systems for organising tasks, information and company priorities.

  • Use AI and productivity tools to improve workflows and reduce repetitive work.

  • Take ownership of special projects across product, growth, marketing, operations, partnerships or other areas when needed.

The exact nature of the work will evolve as the company grows, so adaptability is important.

Who we're looking for

You don't need to have years of experience.

We care more about how you think, how quickly you learn and whether you can take ownership.

You might be a great fit if you:

  • Are highly organised and naturally good at keeping track of multiple things.

  • Can communicate clearly and professionally in English.

  • Are comfortable working directly with a Founder in a fast-moving environment.

  • Can take a vague task and figure out how to move it forward.

  • Are proactive and don't wait for someone to remind you about everything.

  • Have strong research and problem-solving skills.

  • Can summarise information without unnecessarily overcomplicating it.

  • Are comfortable following up with people and coordinating across different teams.

  • Pay attention to details while still understanding the bigger picture.

  • Are trustworthy and can handle confidential information responsibly.

  • Are comfortable using tools such as Google Workspace, Notion, ChatGPT, Claude or similar productivity tools.

  • Are interested in startups, technology, AI and learning how companies are actually built.

This role is probably not for you if

  • You need detailed instructions for every single task.

  • You prefer a highly predictable role where responsibilities rarely change.

  • You wait for problems to be assigned to you instead of noticing them yourself.

  • You dislike following up with people.

  • You struggle when priorities change.

  • You only want to work within a very narrowly defined job description.

Why join insiderOne?

You'll get a front-row seat to building an AI company.

Because you'll work directly with the Founder, you'll get exposure to how decisions are made across:

Product · AI · Growth · Marketing · Operations · Partnerships · Hiring · Strategy · Fundraising · Company Building

This role is ideal for someone who wants to learn fast, take real ownership and grow beyond a traditional Executive Assistant position.

Over time, the right person can become a key part of the Founder’s Office and company operations.

We're not just looking for someone to manage tasks.

We're looking for someone who can eventually become an extension of the Founder and help turn priorities into execution.
