About the role

We are looking for an experienced and detail-oriented Travel Management Executive to manage and coordinate travel arrangements for our US-based crew.

The role involves end-to-end travel coordination, including flight, hotel, rental car, and ground transportation bookings, itinerary management, vendor coordination, expense tracking, and handling urgent or last-minute travel changes.

The ideal candidate should have strong communication and coordination skills, hands-on experience in travel bookings, excellent attention to detail, and the ability to manage multiple travel requirements simultaneously.

The work

Key Responsibilities

  • Plan and coordinate regular domestic and international travel arrangements for US-based crew.
  • Manage flight, hotel, rental car, and ground transportation bookings.
  • Prepare and share accurate travel itineraries with crew members.
  • Coordinate with travel agencies, airlines, hotels, rental companies, and other travel vendors.
  • Handle rescheduling, cancellations, refunds, rebooking, and last-minute travel changes.
  • Maintain accurate booking records, travel calendars, and travel-related documentation.
  • Coordinate travel expenses and required documentation with the Accounts/Finance team.
  • Ensure travel arrangements are aligned with crew schedules and project requirements.
  • Identify cost-effective travel options while maintaining company travel standards.
  • Ensure all bookings follow company travel policies and required approval processes.
  • Provide timely support for urgent travel requirements, including after-hours support when required.
  • Follow up with vendors and crew members to ensure all travel arrangements are completed on time.
  • Resolve travel-related issues and provide prompt assistance when changes or disruptions occur.

Who they want

Required Skills & Experience

  • 2–4 years of experience in corporate travel, travel management, travel desk operations, or a similar role.
  • Hands-on experience with flight, hotel, rental car, and transportation bookings.
  • Experience handling US or international travel will be an advantage.
  • Knowledge of GDS systems, travel portals, or corporate booking platforms.
  • Experience with GDS platforms such as Amadeus, Sabre, or Galileo will be an advantage.
  • Good understanding of airline schedules, fare rules, cancellations, amendments, and refunds.
  • Strong communication and coordination skills.
  • Good vendor management and follow-up skills.
  • Good working knowledge of MS Excel and email communication.
  • Ability to manage multiple bookings and urgent requirements simultaneously.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and manage time effectively.
  • Willingness to work according to US time-zone requirements or flexible working hours, when required.
